Job Summary
We are expanding our programs and services and invite motivated, confident, and client-focused individuals to join our team. The Administrative Assistant will provide front-line administrative and reception support, ensuring smooth office operations and a welcoming environment for clients, staff, and community partners.
Reporting to the Office Coordinator, the Administrative Assistant will assist with reception, client intake, record-keeping, and other administrative tasks. The successful candidate will be organized, adaptable, and demonstrate strong interpersonal and communication skills while maintaining confidentiality and supporting staff and programs effectively.
Responsibilities
- Welcome clients and visitors and refer all requests for service to the appropriate personnel.
- Maintain the reception area and other assigned office areas to ensure a professional and organized environment. This includes opening, sorting, and routing incoming mail and emails to the appropriate personnel and assisting with requisitions for office supplies and equipment as needed.
- Manage client files and maintain organized digital and physical filing systems.
- Assist with the preparation of meeting minutes and related documentation.
- Provide support with staff training related to new office programs and administrative initiatives.
- Assist with maintaining the organization’s website, social media platforms, and IT-related support as assigned.
- Provide administrative support for organizational policies, procedures, and statistical reporting documents as required.
- Provide administrative support for program planning and service delivery as needed.
- Assist with preparation and data entry related to Accounts Receivable, Accounts Payable, payroll, and bank deposits.
- Present a professional and welcoming image of the organization in all interactions with clients, staff, and community partners.
- Perform other related duties as assigned by the supervisor and/or Executive Director.
Qualifications
- Certificate or diploma in Office Administration, Business Administration, or a related field preferred; a combination of education and relevant experience may be considered.
- Experience in an administrative assistant, receptionist, or office support role is preferred.
- Excellent customer service skills, both in person and over the telephone.
- Strong written and verbal communication skills with the ability to interact professionally with clients, staff, and community partners.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, OneDrive).
- Familiarity with digital platforms such as Zoom and social media tools; experience with Canva is an asset.
- Strong organizational and time management skills with attention to detail.
- Ability to manage multiple tasks and respond to changing priorities in a busy office environment.
- Ability to maintain confidentiality and handle sensitive client information with professionalism and discretion.
- Ability to work collaboratively as part of a team while also working independently.
- Commitment to providing culturally sensitive, respectful, and supportive service to individuals and families.
- Satisfactory Criminal Record Check with Vulnerable Sector Query.
